UN/EDIFACT D96A INVOIC Message

What the INVOIC message is for

Invoice Message. The supplier's request for payment: what was supplied, at what price, with what tax, and what is owed.

INVOIC is the settlement message and the one with the most external constraints, because tax authorities and buyers both impose rules on it. It states the charges for goods or services delivered, broken down by line, with tax treatment applied at line and document level. Its value in EDI is that it can be matched automatically against the purchase order and the goods receipt, so invoices that agree with both are paid without human involvement and only genuine discrepancies reach the accounts payable team.

Who exchanges it

Sent by suppliers and service providers, received by buyers, retailers and their finance systems. Closes the cycle opened by ORDERS and fulfilled by DESADV, and is matched against RECADV where the receiver confirms what arrived. Payment then follows via PAYORD, PAYMUL, REMADV or CREMUL.

Segments that carry the parts people get wrong

  • BGMInvoice number and type, distinguishing an invoice from a credit note.
  • DTMInvoice date and tax point date, which are not always the same.
  • NADBuyer, supplier and, importantly, who is being invoiced where that differs.
  • TAXTax type, rate and category at both line and document level.
  • MOAMonetary amounts: line totals, taxable amounts and the payable total.
  • LINInvoice lines, with PRI carrying the price and QTY the quantity.
  • ALCAllowances and charges such as discounts, delivery charges and settlement terms.
  • RFFThe purchase order and despatch advice references that make three-way matching possible.

In practice: Most invoice rejections are not tax errors, they are reference errors: a missing or wrong purchase order number in RFF prevents matching and pushes the invoice into manual handling, which is exactly what the integration was meant to avoid.
